Recan HQ operates the recanRSVP service at recanhq.co.uk. We are the data controller for personal data collected through this service.

Event organisers:

• Email address and password (hashed) used to create and manage your account
• Account and session identifiers used to keep you signed in across supported Recan organiser services
• Event details you enter (names, dates, sections, questions)

Event guests:

• Name and email address (provided by the organiser when adding you)
• Your RSVP responses: attendance choices, answers to event questions, names of party members
• Photos uploaded via the Snap feature, if you choose to use it

• To provide the RSVP service — sending invite links and recording responses
• To allow organisers to manage guest lists and plan their events
• To send you your personalised RSVP link by email, if provided
• To support shared organiser login, account management, and navigation across Recan-operated services such as recanRSVP and recanSNAP

Our lawful basis for processing is legitimate interests (operating the RSVP service) and, for sending emails, consent (your email was provided to receive your invite).

Recan operates both recanRSVP and recanSNAP. Where we support a shared organiser login, certain organiser account data may be used across those services.

This may include your organiser ID, email address, role, parent or sub-account relationship, session records, and subscription or billing status where needed for authentication, admin access, account ownership, or feature access.

Event content remains product-specific. For example, RSVP guest lists and responses are managed within recanRSVP, while guest-uploaded media is managed within recanSNAP unless a feature explicitly connects the two.

Guest personal data — including names, email addresses, and RSVP responses — is automatically deleted 30 days after the event date. After this point, responses are anonymised and cannot be linked back to you. The event record itself (date, headcounts) may be retained by the organiser for their own records.

Organiser account data is kept until the account is closed.

• Email provider (SMTP): Used to deliver RSVP invite emails to guests. Your email address is passed to our mail server for delivery only.
• Snap photo service: If you upload a photo via the Snap feature, it is stored by our photo hosting provider.

We do not sell or share your data with any other third parties, and we do not use it for advertising.

Under UK GDPR you have the right to:

• Access the personal data we hold about you
• Ask us to correct inaccurate data
• Ask us to delete your data
• Object to or restrict how we process your data
